Our Clients
If you are our Client, your personal data will be processed to establish and maintain contact with you, including to answer your questions sent via the contact form, exchange current correspondence, possibly conclude and perform a contract for the provision of electronic services or other contracts with you, including contacting you in connection with concluded contracts, providing you with support for the services provided, handling possible complaints, in accordance with the provisions of the Terms of Service of the CoolCity.eu website.
Additionally, your personal data may be processed for the purpose of our settlements and accounting.
Your personal data may also be processed for the purposes of direct marketing of our own products or services and for the establishment, exercise, or defense of possible claims.
Employees/co-workers of our Clients
If you are an employee/co-worker of our Clients, your personal data will be processed to ensure contact with the entity that is a party to the contract concluded with us, to verify whether you are authorized to take actions on behalf of this entity, and for the proper performance of the contract concluded with us.
Additionally, your personal data may be processed for the purpose of our settlements and accounting.
Your personal data may also be processed for the purposes of direct marketing of our own products or services and for the establishment, exercise, or defense of possible claims.
The legal basis for the processing of personal data is:
Our Clients
- regarding sending a response to your inquiry and possibly concluding and performing a contract for the provision of electronic services or other contracts with you, including contacting you in connection with concluded contracts, providing you with support for electronically provided services, handling possible complaints – processing is necessary for the performance of a contract to which you are a party or to take action at your request before concluding a contract (Art. 6(1)(b) GDPR);
- regarding our settlements and accounting – processing is necessary to fulfill legal obligations incumbent on us, in particular under tax and accounting regulations (Art. 6(1)(c) GDPR);
- regarding establishing and maintaining contact with you, including to answer your questions sent via the contact form and exchange current correspondence not related to the conclusion of a contract for the provision of electronic services or another contract – processing is necessary for the purposes of our legitimate interests (Art. 6(1)(f) GDPR), consisting in establishing and maintaining contact with you, including to answer questions sent via the contact form and exchange current correspondence;
- regarding our direct marketing of our own products or services - processing is necessary for the purposes of our legitimate interests (Art. 6(1)(f) GDPR), consisting in our direct marketing of our own products or services;
- regarding the establishment, exercise, and defense against possible claims – processing is necessary for the purposes of our legitimate interests (Art. 6(1)(f) GDPR) consisting in the ability to take actions aimed at establishing, exercising, and defending against possible claims;
Employees/co-workers of our Clients
- regarding ensuring contact with the entity that is a party to the contract concluded with us, verifying whether you are authorized to take actions on behalf of this entity, proper performance of the contract concluded with us – processing is necessary for the purposes of our legitimate interests (Art. 6(1)(f) GDPR) consisting in the ability to ensure contact with the entities that are a party to the contract concluded with us, verifying whether you are authorized to take actions on behalf of this entity, proper performance of the contract concluded with us;
- regarding our direct marketing of our own products or services - processing is necessary for the purposes of our legitimate interests (Art. 6(1)(f) GDPR), consisting in our direct marketing of our own products or services;
- regarding the establishment, exercise, and defense against possible claims – processing is necessary for the purposes of our legitimate interests (Art. 6(1)(f) GDPR) consisting in the ability to take actions aimed at establishing, exercising, and defending against possible claims;
- regarding our settlements and accounting – processing is necessary to fulfill legal obligations incumbent on us, in particular under tax and accounting regulations (Art. 6(1)(c) GDPR).
We may transfer your personal data to entities providing advisory (legal, tax) and IT services to us.
We will not transfer your personal data to third countries (i.e., outside the European Economic Area) or to international organizations.
We process the following categories of your personal data: first and last name, name (company) of the institution, order area, phone number, e-mail address.
Your personal data will be processed for the period necessary to achieve the processing purposes specified above, i.e.,
- for the period of correspondence related to the question you sent via the contact form;
- regarding the provision of electronic services by us or the performance of other contracts – for the duration of the contract;
- regarding our settlements and accounting – to the extent and for the time consistent with applicable law;
- regarding the establishment, exercise, or defense against possible claims - for the period and to the extent necessary to establish, exercise, or defend against possible claims;
- in the case of an objection to data processing, resulting in the obligation to consider it – until it is considered.
In connection with the processing of your personal data, you have the right to:
- access your data and receive a copy of it;
- rectify (correct) your personal data;
- erase your personal data;
- restrict the processing of your personal data;
- data portability, when processing is automated, based on consent or a contract.
To the extent that your personal data is processed for the purposes of our legitimate interests, i.e., based on the processing ground of Art. 6(1)(f) GDPR, you also have the right to object to such processing.

If you believe that our processing of your personal data violates the applicable regulations in this regard, you have the right to lodge a complaint with the supervisory authority, which in Poland is the President of the Personal Data Protection Office.
We will not make decisions about you in an automated manner, nor will we perform profiling.
Providing your personal data marked with * is voluntary, however, failure to provide this personal data may prevent us from contacting you, in particular from answering your questions sent to us and conducting correspondence, and will also prevent the conclusion of a contract with you and the provision of services to you. Providing other data is voluntary, however, failure to provide it may prevent us from providing you with information about our products or services.
We have obtained your personal data as a result of you providing this data in the contact form or by making your personal data available by: (i) indicating you as a person authorized to represent the entity that has concluded a contract with us or as a contact person in the contract concluded with us, (ii) providing your personal data in another way during the term of the contract concluded with us for purposes necessary for the proper performance of this contract, or (iii) from publicly available sources (e.g., the Central Register and Information on Economic Activity).
